Description

POSITION OBJECTIVE

This position coordinates all clinical functions and patient care in the Department of Oral and Maxillofacial Surgery Ambulatory Surgery Center (ASC) and clinic area. This position directly supervises the surgical RN’s, PACU staff, surgical assistants/or techs, dental assistants and OR Scheduler/patient care navigator in the OMS clinic and environmental services staff assigned within ASC. In addition, this individual will assist with quality assurance of central sterilization operations.

ESSENTIAL FUNCTIONS

  1. Coordinate, schedule and provide OMS surgical scrub/circulation duties for the faculty and residents of the department, as well as other providers using the ASC. Review faculty and resident schedules daily to verify efficient use of time. Assign staff to cover OR rooms. Coordinate schedules of ASC staff to assure appropriate levels of coverage. Coordinate vacation schedules of ASC and clinic staff. Coordinate quality assurance of the ASC including but not limited to sterilization, biomedical equipment maintenance, proper sterilization protocol, etc. Maximize safe, efficient and productive patient flow. Oversee documentation of peri-operative nursing assessments for ASC cases, proper allocation of supplies for billing and workload capture. (20%)
  2. Interview and evaluate patients. Provide direct nursing care to patients according to the assignment and to individual needs of the patient; assesses health-related needs based on biological data, patient history, and other existing data, such as medical chart reports. Initiate plan of care as designated by a physician or advanced practice provider. Provide comprehensive patient education when treating patients. Maintain accurate and complete records and documents on patient’s conditions, problems, treatments, medications, etc. (10%)
  3. Maintain competency files of subordinates, verifying all ASC employees are competent and current in BLS, radiology license if needed, environment of safety, sterilization techniques, IV techniques, Hazcom, HIPAA, infection control, etc. Serve as a positive motivator to staff and work with Supervisor to promote a more positive morale. Assist the staff in addressing issues as they arise and promote teamwork. (10%)
  4. Provide technical oversight and supervision of subordinates in clinical areas, including but not limited to surgical procedures, sterilization, scheduling, infection control, patient identifiers/surgical site verification, Hazcom, coding, and specimen handling. Identify and meet developmental and/or training needs of subordinate employees. Appropriately counsel and evaluate subordinates, and work in conjunction with HR for employee actions. Periodically assess and document the competency of surgical assistants in surgical protocol and assisting with a sedated patient. Supervise/assist subordinates for cleanliness/readiness of the clinic (20%).
  5. Maintain Implant and bone graft log, biopsy log, emergency kit log, autoclave log and emergency oxygen log. Supervise the preparation of orders for Case Western Reserve University dental school purchasing agent processing. Check equipment to ensure that it is in good working order. Report/record all repair orders. Contact appropriate service vendors or Dental school staff for repairs. Maintain an equipment repair log. Monitor/re-order dental and office supplies as needed. Monitor all dental and office supplies usage. Prepare requisitions to order materials and supplies as needed. Order, distribute and account for medications. Prepare requisition to re-order medications. On a monthly basis, verify expiration dates of all medications. Distribute medications to the residents and faculty. Maintain an inventory and daily count of controlled substances. Records will be kept on file for audit purposes. Verify controlled substances are secured at the close of business. Establish an efficient inventory system for the entire OMS clinic and ASC and order supplies as needed. (20%)
  6. Oversee sterilization of all oral surgery instruments and equipment. Maintain emergency equipment and drugs and initiate and assists with resuscitation procedures. Provide first responder emergency care within the School of Dental Medicine. Schedule and maintain training log of simulated emergencies. Assist the faculty in conducting “mock codes”. (10%)

NONESSENTIAL FUNCTIONS

  1. Maintain department policies and procedures to remain in full compliance with the accreditation organization as well as other pertinent regulatory agencies. Develop process improvement initiatives as the need arises. (5%)
  2. Perform all other duties as assigned by the department chair or Medical Director of the ASC. (5%)

CONTACTS.

Department: Continuous contact with all OMS departmental faculty, staff, residents and students to facilitate patient care. Contact with School of Dental Medicine dispensary staff, receptionists, graduate department, specialty clinics and clinical instructors on a daily basis to facilitate patient care.

University: Frequent contact with purchasing and Human Resources to exchange information.

External: Continuous contact with all patients to facilitate care. Occasional contact with University Hospitals’ surgery, pathology and radiology departments to facilitate patient care. Contact with vendors to order supplies and equipment.

Students: Continuous contact with DMD students and post graduate residents to facilitate patient care.

SUPERVISORY RESPONSIBILITY

Direct supervision of all RN’s, OMS Dental Assistants, surgical technicians, OR scheduler, and environmental staff.

REQUIREMENTS

Experience/Education: Bachelor’s degree and 3 years of experience; or Associate’s degree and 7 years of experience; or High school education and 11 years of experience required. RN license required. BSN preferred. Operating room and/or PACU experience preferred.

REQUIRED SKILLS

  1. Must have strong organizational skills.
  2. Ability to work independently in a fast paced environment with a diverse population.
  3. Excellent communication skills both verbally and written.
  4. Strong attention to detail is critical.
  5. Ability to train and supervise a diverse staff.
  6. Familiarity with applicable regulatory agency’s compliance requirements.
  7. Familiarity with inventory and ordering of disposable supplies is desired.
  8. Strong understanding of EMR computer software.
  9. Ability to effectively interact with colleagues, supervisors and customers face to face.
  10. Ability to meet consistent attendance.
  11. Basic knowledge of computer software.
  12. CPR Certification annually, PALS and ACLS biannually.
  13. Ability to meet consistent attendance.

WORKING CONDITIONS

This work is performed in a clinical setting and requires general knowledge of chemicals, blood borne pathogens, lab safety and common medications used in a surgical area. Daily exposure to biohazards, sharps, hot sterilization equipment and possibly ionizing radiation. Required personal protective equipment includes mask, gloves, safety glasses, and gown when appropriate. Potential for safety hazards exists if flammable agents are in use where oxygen is also in use. High pressure gas cylinders are also potential hazard. Unusual stress may exist when general anesthesia is administered, or when emergency situations arise with patients.
